Payment Policy
To secure a booking, travelers must follow this payment schedule:
- Minimum 10% of total trip value must be paid within 24 hours of confirming the booking
- 30% of total booking value must be paid as the confirmation amount
- Remaining 70% balance must be cleared at least 30 days before departure
Failure to complete payments within the required timeline may result in automatic cancellation without prior notice.
Cancellation Policy
- The booking amount is non-refundable once confirmed
- Cancellation 30 days or more before departure — 20% cancellation charge
- Cancellation within 30 days of departure — 100% cancellation charges
- If the 30% payment is not completed within one month of booking or at least 3 months before travel (whichever is earlier), the booking is considered cancelled and the paid amount is forfeited
All cancellation requests must be submitted via email or official communication channels.
Refund Policy
- Any amount paid towards booking is non-refundable, except where explicitly stated otherwise
- If a service is cancelled by Xplorewide due to operational reasons, the amount may be issued as a credit note for a future booking
- No cash refunds will be issued under any circumstances
- Refund timelines may vary depending on third-party suppliers
No Show Policy
Failure to join the trip or service on the scheduled date will be treated as a no-show. No refund will be provided.
Force Majeure
Xplorewide shall not be responsible for cancellations or delays caused by events beyond our control, including:
- Natural disasters
- Weather disruptions
- Pandemics or health emergencies
- Government restrictions
- Political unrest
- Flight cancellations
- Strikes or transport disruptions
In such cases, refunds depend on the policies of third-party suppliers involved in the booking.
Credit Note Policy
- Valid for a limited time period
- Transferable only with approval
- Must be used for Xplorewide services
- Partial redemption may or may not be allowed depending on booking type
Processing Refund Requests
To request cancellation or a refund, contact Xplorewide at support@xplorewide.com from your registered email address. Refund eligibility is calculated based on the date the cancellation request is received.
